This check box is already selected where Content Server linking is on by default. After locating the file on your computer or specifying a file name and file type to create, click "OK". From the "Content Server Link: Pick Location" page, browse the cabinets and folders within the repository to where you want to store your file s.

Or, you can click "Change repository" to select a different one, if available. Pick the target cabinet or folder, and if available pick a template from the drop-down list. Click "OK" when you've make your choice. On the "Content Server Link" page, either pick an alternative location, or click "OK" to confirm that you want to store the file s in the specified repository location. If you picked a template that has mandatory properties, you must specify those properties before you can store the file on the Content Server. If your file has no mandatory properties, you can specify properties or not, as appropriate. Click "OK" to set the properties and close the window.

When you click "OK" on the Add File page, eRoom uploads the selected or created file s to the specified location in the repository and, at the same time, creates one or more Content Server-linked file icons in your eRoom. Note: If any of the new links have the same name as a file that already exists in the same container in your eRoom, an incremental number is appended to the name of the link for example, filename.

While you're editing a file, eRoom prevents other members from editing it by reserving it exclusively for you. When you either replace the file in the eRoom or abandon your changes, eRoom releases the reservation. After you make changes, eRoom puts an unread mark on the file so others know it is updated.

Note: If necessary, the eRoom coordinator can release a reservation on any file in the eRoom so that others can edit it. If you want to hold a file for editing later, you can put a manual reservation on it. This prevents other members from editing the file until you have time to finish editing it and can release the reservation. Note: With eRoom Enterprise , you can reserve, edit, and release reservations on Content Server-linked files in eRoom.

When you do, the corresponding action is applied to those files in the repository. For example, if you edit a Content Server-linked file in the eRoom application, that file is checked out to you and locked in the repository until you save your changes and release the reservation.

At that time, a new version of the file is checked back in to the repository, and the lock is removed. Conversely, actions performed on Content Server-linked files in the repository have the corresponding effect on those files in eRoom. Right-click the file's icon and pick "Access Control" from the pop-up menu. Or, in the item or attachment box in details view, select the file's check box, and then click "access" in the command bar.

On the Access Control page, select the "Reserved for editing" check box. When you enter an eRoom, and if there is a changed file in your offline editing directory, eRoom asks what you want to do with that file.

You can either. Upload -- copy the changes to eRoom. Keep Working -- do not copy the changes, and leave the reservation intact eRoom will ask again the next time you enter the eRoom. If you choose to upload or abandon the changes, you can also decide whether to release the reservation afterwards.

If the administrator chooses to "add them as new accounts" during the import, a page at the end of the import process shows how many matched members were found and whether or not "require email addresses" is true for the community, as follows:. If there's a login-name conflict with a new name you provide, you must pick a new address or login name. You will need to provide the new member with a new email address, since the member's community requires that email addresses be used as login names.

In this case, members are still matched on login name, but the conflict resolution page asks for an email address rather than a login name. If a conflicting member has an email address, eRoom populates the email field with it.

If there's a conflict with the email address, select another one. Groups are matched on group name. Since a group's name only has to be unique in its community, eRoom does not check for matches in other communities. For a community import, members who don't have an email address are imported and are allowed to login using their login names. During a facility or eRoom import, if imported members have no email addresses and the community requires email addresses, the members are imported as new accounts using the original login names, and an error is put on the accounts that will get cleared whenever an email address is provided.

Eligible files are either optionally or automatically protected, depending on the inherited policy. This folder defines its own policy - When selected, the folder defines its own policy.

If the folder defines its own policy , and you have Edit rights to the folder, specify whether eligible files in the folder are optionally or automatically protected by selecting the appropriate option for the setting New Microsoft Office files and Adobe Acrobat files in this folder , by selecting one of the following options:. To define the folder's policy for protecting files, click "Policy settings" to open the folder's Rights Management policy settings page settings described here.

Like the eRoom's policy, the folder's rights-management policy is inherited by and serves as the initial policy for folders and newly protected eligible files in this folder. The settings on this page define the folder's actual policy even if it's inherited from its parent.

The restricted symbol appears next to any setting overridden by the folder's effective policy, thus rendering the actual setting ineffective. If the folder is set to define its own policy, and you have Edit rights to the folder, specify the policy settings, as appropriate. Note: eRoom Enterprise only You cannot enable rights management for either linked folders or folders having a default storage location in a Documentum repository.

Similarly, if the policy for a folder or eRoom is to "automatically protect" eligible content, then the option to specify a default storage location in a repository is unavailable for folders in that folder or eRoom. Likewise, you can neither add a file from a repository , nor link a new or existing file to a repository in such a folder or eRoom. You can select multiple folders and edit their policy information.

If all of the folders are enabled the same way and use the same policy settings, the Access Control page and the Rights Management policy settings page appear the same as described in the preceding procedure titled To specify rights management settings in folders.

If the folders are not enabled the same way for example one is "can protect" and others are "will automatically protect" , you can choose one of the following options:.

Leave them as is - If selected, any selection under the following option is cleared and the Policy settings button is disabled. On the Rights Management policy settings page, if any setting is not the same for all selected folders, it is cleared check mark removed or text field emptied.

Any change you make to a setting is applied to each of the selected folders. If the selection includes both files and folders, none of the rights-management settings appear on the Access Control page because they are different for folders and files.
